Taxwala Inc. (“Taxwala”, “we”, “us”) is a tax and accounting firm based in Waterloo, Ontario. Preparing a tax return means we handle some of the most sensitive information you have, including your Social Insurance Number and income details. This policy explains what we collect, why we collect it, how we protect it and the choices you have. We follow the principles of Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
Information we collect
When you complete our Tax Intake Form
- Identity and contact details: your name, date of birth, Social Insurance Number (SIN), phone number, email address, home address, citizenship and residency status, and marital status.
- Tax information: details about rent or property tax, tuition and education, business, self-employment or rental income, business and vehicle expenses, and childcare costs.
- Spouse or common-law partner: if we are preparing their return too, their name, SIN, date of birth, contact details and residency information.
- Dependants: names, SINs, dates of birth and relationship to you.
- Documents you upload: tax slips (such as T4, T5, T2202, T4A), receipts, Notices of Assessment, expense summaries and similar records.
- Your electronic signature and the date you signed.
Please only provide information about your spouse, partner or dependants if you have their permission to share it with us.
When you contact us
If you use our contact form, call, email or message us, we collect your name, contact details, the service you are interested in and anything you include in your message.
When you visit our website
Like most websites, our hosting provider automatically records basic technical information such as your IP address, browser type and the pages you visit, for security and to keep the site working. Our pages include content from third parties (an embedded Google Map and Google reviews), and those services may set their own cookies. See Cookies and third-party services below.
Why we use your information
- To prepare, review and electronically file your tax returns with the Canada Revenue Agency (CRA) through EFILE.
- To respond to CRA requests, reviews or audits on your behalf, when you ask us to.
- To communicate with you about your file, deadlines, documents we still need and our fees.
- To answer enquiries and book consultations.
- To meet our legal and professional record-keeping obligations.
We do not sell, rent or trade your personal information, and we do not use it for unrelated marketing without your consent.
Consent
By submitting the Tax Intake Form and signing the authorization, you consent to us collecting, using and disclosing your information for the purposes above. You can withdraw your consent at any time by contacting us, subject to legal or contractual limits. If you withdraw consent, we may not be able to prepare or file your return.
Who we share it with
We only share your information when it is needed to provide our services or when the law requires it:
- The Canada Revenue Agency and, where relevant, provincial tax authorities, when we file your returns or respond to them on your behalf.
- Service providers who help us run our business, such as our website hosting, email and tax software providers. They may only use your information to provide their service to us and must protect it.
- Others when required by law, for example in response to a court order or a legal request from a government authority.
Some of our service providers may store or process information on servers outside Canada. When that happens, your information is subject to the laws of that country and may be accessible to its authorities.
How we protect it
- Our website uses an encrypted (HTTPS) connection.
- Access to client files is limited to the people at Taxwala who need it to work on your file.
- We use password-protected accounts and keep our systems and software up to date.
No method of transmission or storage is completely secure, but we take reasonable steps to protect your information from loss, theft and unauthorized access. If a breach creates a real risk of significant harm to you, we will notify you and the Office of the Privacy Commissioner of Canada as required by law.
How long we keep it
The CRA generally requires tax records to be kept for six years from the end of the tax year they relate to. We keep your file for at least that long, and longer where the law or an open CRA matter requires it. When information is no longer needed, we delete or destroy it securely.
Cookies and third-party services
Our website uses a small number of cookies that are needed for the site and our forms to work. Embedded Google Maps and Google reviews are provided by Google, and our Instagram link takes you to Instagram. These services have their own privacy policies and may set cookies when you interact with them. You can block or delete cookies in your browser settings; some parts of the site may not work properly if you do.
Your rights
You can ask to see the personal information we hold about you, ask us to correct anything that is inaccurate, or ask questions about how we handle it. Contact us using the details below. We will respond within 30 days, as required by PIPEDA. In some cases the law allows or requires us to refuse access, for example where it would reveal information about another person; if so, we will explain why.
If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada.
Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last changed.
